How can I add and manage Team Members in several locations?

Link someone to several locations, set their working hours, and what to download before a merge.

Do people in your team work at more than one location? In Multi-Location you handle that in one account, without creating them twice. You link someone to every location they work at, and the app keeps track of where their working hours count. There is one exception, and it is below.

Can someone work at several locations?

Yes. You link a team member to every location they work at, and they then appear in the timetable of all of those locations.

Their working hours, though, sit at a single location per day. Someone working Monday in location A and Tuesday in location B is exactly what this is for. If someone splits one day across two locations, you pick the one where the bookable hours belong. If you really need both bookable that day, a second team member in your account is the way.

The timetable shows this too. You filter the timetable on one location, and anyone already scheduled elsewhere that day cannot also be scheduled there.

Where do you set a team member's locations?

In that person's details in your settings, tick the locations they work at. The overview then shows you which locations each person is linked to.

How does the app decide someone's working hours?

When you add a new team member, the app uses the opening hours of the location you create them at. You can pick a different location, and the app links them to it straight away. You can also choose to keep their working hours yourself.

If you are not keeping the hours manually, you will see dashes instead of times. The icon on the left of that row tells you which location is setting the hours.

Manual hours are managed in the Timetable, and the location you attach to a day there is the location those hours count at.


What if the same person appears twice in your account?

That happens when your locations used to be separate accounts. Our support team merges the two: appointments, absences, tasks, invoices, treatment reports and notes all move under one team member. The second, redundant one gets (old) after their name and stays in your account, because you still need to set the remaining person's timetable and services correctly. After that you can delete the duplicate.


Download your worked hours report before a merge

This is the one step you cannot undo. A merge does not carry past timetables across, so worked hours reports from before that date are no longer usable afterwards. Everything else is kept.

So before the merge, set the period in your team report to the full period and download it, and also take the worked hours export from the data exports in your settings.

If someone works at several locations, use the all-locations overview to total their hours: tasks and absences belong only to the person and not to a location, so counting per location counts them twice.
