An absence blocks out time so nobody can book it: a week off, a sick day, a training afternoon, or the two hours you're at the wholesaler. You add one from your settings or straight from your calendar, and you choose whether it covers the whole salon or just one person, room or tool. Below you'll find both routes, who an absence applies to, when you can repeat one, and what the national holidays already in your list are doing there.
How do I add an absence in my settings?
Go to 'Settings' > 'Company' > 'Absences'.
Click the button at the top right of the page to create a new absence.
Give it a description, set the date and time, and pick who it applies to.
Click 'Save'.
The page keeps two lists: the national holidays that came with your account, and everything you've added yourself. Each of your own absences shows its description, who it applies to, and the dates it runs between. With more than one employee on the account you also get a filter, so you can look at one person's absences at a time.
How do I add an absence from my calendar?
Two ways, and both end up in the same form.
Click an empty spot in the calendar and choose the absence option from the small menu that appears.
Open the window for creating something new and switch to the absence tab, alongside appointment, chore and note.
Fill in the same fields — description, date and time, who it applies to — and click 'Save'.
Who or what does an absence apply to?
When you create one you choose between the whole company, one employee, one treatment room, one tool, or one location. A company absence has nobody attached to it, which is why it closes the salon for everyone.
Whichever you pick, that time stops being bookable online and stops counting as time worked in your reports. On the timetable the day reads as unavailable and you can't edit it from there — you change the absence itself.
Can I repeat an absence?
Only when the absence starts and finishes on the same day and isn't set to run all day. The repeat option appears once both are true, and disappears again the moment you tick all day or push the end into another day.
So a Wednesday afternoon you're never in can repeat every week; a fortnight in Greece can't, and you enter that one as a single absence with a start and an end.
What are the national holidays already in my absences list?
Your account arrives with the national holidays already blocked out, in a list of their own above the ones you add. If you open on one of them, delete it from that list and the day comes back.
The absences you add yourself sit in the second list, where you can edit them as well as delete them.
Where do I see an absence once I've added it?
Your calendar loads absences alongside your appointments, so an absence sits on the day it covers wherever you look at that week. You can drag it to another time or pull its edge to make it longer or shorter, without opening the form again.
On the timetable, the same day reads as unavailable and can't be edited there — you change the absence itself.
